Add Standard and Scheduled Communications
Both Standard and Scheduled Communications can be recorded via the Add Communications window within the Communication List or profile page.
- Standard Communications - Communications that have occurred. Saving communications with the current date & time or selecting a past date or a time from the date and time picker will create a standard communication.
- Scheduled Communications - Communications that can be scheduled for the future. These Communication types are highlighted by an orange tag to alert users. Set the Start date or time to a future date or a time to schedule a Communication.
- Overdue - Communications that are overdue. These Communication types are highlighted by a red tag to alert users.
By default, the current date & present time populate as the Communication Start date & time. Upon saving, the Start date & time will determine if the Communication is recorded as 'Standard' or 'Scheduled.'
Add Communications window
Use the Title field to record a subject line against the communication. This is a mandatory field.
Select an appropriate icon from the drop-down to define the communication method - Telephone, E-mail, Meeting, Notes Etc...
By default, the logged-in user's name is captured and assigned to the communication's From field. Search and assign the "To" contact/s by via the Contact lookup field.
When adding a Communication against a Contact profile page, by default, the Contact name will be assigned within the "To" field. This field is also a Contact lookup field.
Use the swap icon between the From & To fields to swap Contacts. All Contacts assigned to a Communication will have a record of that saved Communication within their profile page's Communications tab.
Start date & Time
Standard and Scheduled Communications will be determined by the Start date & time attributed to the Communication. By default, the Start date and time is automatically set to current.
Select a past date and/or time to record backdated Communications.
Once saved, a Standard Communication cannot be converted into a Scheduled Communication by editing the Communication's start date or time.
Select a future date or time to record a Scheduled Communication. A list view of all Scheduled Communications is available to users via the Scheduled Communications widget on the dashboard.
End time captures the duration of a Communication. By default, the End time will be equal to the start time (current time).
The End time drop-down contains 30 minute segments starting from the specified start time. The actual time duration is available in hours when selecting an End time. Communications can be filtered by duration on the Communications List view page.
Use Create another to quickly record one Communication right after another.
Use Tag with to tag Communications with Products, Custom Objects or Opportunities.
The Reminder will be available only when the Start date or time is set to a future date. Select notification preferences by clicking the reminder drop-down.
Flag important Communications to identify them in your Communications list view.
Once saved, a Communication is available in all attributed Contact profile pages and within the tagged Opportunity, Custom Object or Product profile page.
