According to the GDPR act, in order to hold a Contact's information one must obtain and record authorised consent against personally identifiable information. The GDPR settings window allows users to record the status of the consent, the date & time consent was given, how consent was given and any additional notes regarding the consent for each separate personally identifiable data field.
Click on the symbol in front of the contact details or custom field on the profile page view to open the GDPR settings window. By default, consent is set to Unknown until changes are made and saved by the user.
Note: the GDPR integration must be enabled to view the symbol and access the settings window.
Consent - The consent status of each field can be identified by the color of the GDPR symbol displaying next to the applicable contact or custom field. When changes are made to the consent status within the settings window, the color of the GDPR symbol attributed to that data field on the profile page view will change colors to reflect the associated status:
- When consent is 'Unknown'
- When consent is 'Granted'
- When consent is 'Denied'
Date and time - This field represents the date and time consent was given. By default, this field populates with the current date and time but can be changed as required.
Source - This field helps track which medium the contact used to give consent for that specific field.
Description - This text field is used to record important notes regarding the consent or any other related statements.
Click Done to save the changes made within the GDPR settings window. The information entered is stored within the GDPR settings window which is accessible by clicking on the icon. The information does not display next to the associated contact or custom field.
For compliance and auditing purposes, changes made to the Contact fields and changes made within the GDPR settings window display in the Recent Activities widgets in the Contact's profile page Overview tab and in the system home page dashboard (if the Recent Activity widget is added). Changes made to these fields are also recorded within the Control Panel system Activity Log section. The date and time recorded against activity logs is based on when the data was saved in the system, not the date and time consent was given.
