Send GDPR opt-in emails to a filtered Contact list in bulk from the Contact list view or request consent from Individual Contacts via the Contact profile page. These emails provide Contacts with access to the Consent Portal. The responses provided by Contacts are recorded against their associated Contact profile page within the Salpo platform.
Upon enabling the GDPR CAT add-on, a Send consent emails option will be added to the Actions drop-down menu on the Contact list view page and into the Add drop-down within the Contact profile page.
After selecting the Send consent emails option, a confirmation window box appears. Select Send to email a unique GDPR Consent Portal link to each Contact or to Contacts returned in the list view. The email and Consent Portal settings are defined within the Control Panel.
Only Contacts that have multiple email addresses and/or telephone numbers saved against their profile page are sent a verification email. A link to access the Opt-in Portal is embedded in the verification email body. Upon accessing the Opt-in Portal, a partial view of the emails/numbers that are stored against that Contact within Salpo will display so a preferred email/number can be defined. The Contact must then validate the email/number by entering the full contact detail.
A Submit button will display once the preferred email is entered and successfully verified. The value must match the value stored within Salpo. Upon submission, the GDPR consent request email will be sent to the verified contact detail. This email contains a link to the Consent Portal where the Contact will provide consent preferences against any personally identifiable data stored within Salpo.
The Contacts that have only one email address saved against their profile will not receive the verification email.
Note: The link provided in consent emails (not the verification email) is time sensitive! The link is active for only an hour. If Contacts click the link outside of the one-hour window, they will be sent a new link to access the Consent Portal.
The GDPR consent request email to Contacts will look like the below:
If there is no mail service activated against the CRM, the system will display an error message on the confirmation window box advising the request could not be completed with a link to the Salpo integrations page to connect the applicable mail service, SendGrid.
If SendGrid is unavailable, the system will display the error message, 'An error occurred, please try again.'
If the connected SendGrid plan has expired, the system will display the error message, 'The request could not be completed. Your SendGrid account has expired.'
If a Privacy Statement has not been set up within Salpo CRM, the system will display the error message, 'No Privacy Statement has been found. To continue, create a Privacy Statement and retry.' Use the documentation to learn how to add a Privacy Statement.
Provided all prerequisites are met, the logged in user will receive an email confirming the action completed successfully.
