Contacts can be filtered by type (Individuals or Organisations), standard and custom fields, and connections. These filters are available on the Contacts list view page. Use filters to obtain a specific list of contacts.
By default the system displays all contacts loaded within the CRM. Select Individuals or Organisations to view the respective contacts list view. All other field filter options are available underneath the More drop-down. Multiple filters can be applied against a list to narrow down the criteria.
The Exists and NOT options are available within each standard and custom field filter. These options define if the filtered list results should include records where values exist or should include records which do not have a specific value populated.
Standard filtering options
- Date Added
- Last Communicated Date
- Current Owner
Contact custom fields
Contact custom fields are set-up and manager within the Control Panel. These custom fields are available to apply as filtering criteria underneath the More filter option when a user is on the contact list view page. See Creating Contact Custom Categories and Fields to learn more about building these values.
Connections filtering is available to perform more focused searches based on networks created within the CRM. Learn more about how to create contact connections here.
Show Individuals who work for Organisations who have a postcode in Gloucestershire (begins with GL).
Show Individuals whose name begins with Bob and who work for Organisations who have No. of employees of 1-10.
In this example the results will display information about any Individuals who meet this search criteria (not the Organisations). To find Organisations for the example above, just switch it around:
Show Organisations who have No. of employees of 1-10 and who employ Individuals whose name begins with Bob.
Saving filters allows users to come back and reload a previously used filter at any time. Saved filters also drive the selections available within the dashboard widgets. Saving a filter doesn't save the results of the filter, just the filter query and the column layout, so when the filter is loaded at a later date a list of updated results will populate. See our Saved Filters document to learn more about this feature.
